Privacy Policy

This policy explains how RateRecon ("we", "us"), operated by an independent developer in Hong Kong, collects, uses, stores, and protects information when you use our freight invoice auditing service.

1. Information We Collect

Documents you submit: rate confirmations, carrier invoices, and attachments you email or upload, including any personal data they contain (e.g. names, phone numbers, addresses of carrier contacts).
Account information: your name, company name, email address, and billing status.
Payment information: handled entirely by our merchant-of-record payment processor (Dodo Payments). We never see or store your full card details.
Technical data: email headers, timestamps, and service logs needed to operate and secure the service.

2. How We Use Information

To extract line items and produce audit Reports for you.
To deliver Reports and dispute letters to you by email.
To manage your subscription and provide support.
To improve extraction accuracy. When we use documents for model improvement or quality checks, they are de-identified first.

We do not sell your data. We do not use your documents to market to anyone.

3. AI Processing

Document extraction uses third-party AI services (e.g. Anthropic Claude). Documents are sent to these processors solely to perform extraction for your Reports. We do not permit these processors to train their models on your documents under the terms we use them.

4. Data Sharing

We share data only with: (a) our payment processor (Dodo Payments) for billing; (b) our email and cloud infrastructure providers for operation of the service; (c) AI extraction processors as described above; and (d) authorities where required by law.

5. Data Retention

Submitted documents and Reports are retained while your subscription is active so you can access past audits. After cancellation, documents and Reports are deleted within 60 days, unless you ask us to delete them sooner or law requires longer retention.

6. Security

Documents are stored encrypted in transit and at rest. Access is restricted to the operator and the processing systems. No system is perfectly secure; we notify affected customers promptly of any confirmed breach involving their data.

7. Your Rights

You may request access, correction, export, or deletion of your data at any time by emailing support@raterecon.qd.je. We respond within 30 days. If you are in the EEA/UK, you also have the right to lodge a complaint with your local data protection authority; we handle GDPR requests for EU customers as described here.

8. Cookies

The marketing site uses no tracking cookies. The app uses only a login session cookie required for authentication.
